The Ultimate Pre-Gig Checklist for Mobile DJs

The Ultimate Pre-Gig Checklist for Mobile DJs

16th Sep 2025

For a mobile DJ, the performance isn't just the few hours you spend behind the decks; it's the culmination of hours, days, and sometimes weeks of preparation. The difference between a seamless, memorable event and a stressful, chaotic one often comes down to one thing: a rock-solid pre-gig checklist.

Forgetting a single cable, mispronouncing a key name, or having a battery die mid-ceremony can derail a perfectly planned event. Here at NLfx, we've supported thousands of DJs and have seen firsthand how the pros stay professional and prepared. We’ve put together the ultimate checklist based on those best practices.

Turn chaos into confidence! Here’s how:

The Week Before: The Blueprint

This stage is all about strategy and ensuring you have the right plan and tools for the job.

Review the Contract in Detail

This is your event bible. Read every line and confirm all booked services. Are you providing ceremony audio? Is there uplighting involved? A photo booth? How many hours are you booked for each service? Make a master list of every single contractual obligation.

Translate the Contract into a Gear List

Now that you know exactly what you’re providing, create a specific gear pull list. This is where you connect the services to the hardware. For example:

  • Ceremony: 1x Battery-Powered PA Speaker, 2x Wireless Handheld Microphones, 1x Mic Stand.

  • Reception: 1x DJ Controller, 2x Powered PA Speakers, 1x Subwoofer, 1x DJ Facade, 12x Wireless Uplights.

Prep Your Music for Every Moment

A great DJ set is a story. Curate your playlists and crates for every distinct segment of the day: guest arrival, ceremony, cocktail hour, dinner, and, of course, open dancing. Most importantly, review the client's "must-play" and "do-not-play" lists and integrate them perfectly. Make sure all your tracks are downloaded for offline playback.

The Day Before: Gear & Power

This is when you physically gather and test your tools.

Charge Every Battery-Powered Item

This is non-negotiable. Laptops, tablets, wireless speakers, wireless uplights, and especially your wireless microphone receivers and transmitters. Create a designated "charging station" and don't pack an item until you've confirmed it's at 100%.

Pack Your Redundancies

One is none, and two is one. Pack fresh, high-quality extra batteries for every wireless microphone. Pack backup XLR cables, power cables, and a backup laptop. Redundancy is your best insurance policy.

Pack the Rig

Using the gear list you made from the contract, physically pack every item. Check off each speaker, stand, light, and facade panel as it goes into its case or vehicle. This methodical approach ensures nothing gets left behind.

The Day Of The Gig: Personal & Logistics

With the gear ready, the final checks are all about you and getting there smoothly.

Lay Out and Check Your Attire

Make sure your planned outfit is clean, ironed, and meets the event's dress code. Professionalism starts with your appearance.

Pack an Emergency Change of Clothes

Accidents happen. A spilled drink, a ripped seam, or an unexpected downpour during load-in can ruin your look. Pack a simple, clean backup like a black polo shirt and pants. You might never need it, but you'll be a hero if you do.

Practice the Names

This detail separates the pros from the amateurs. Go over the list of names you need to announce: the wedding party, key speakers, etc. Practice them out loud. If you're unsure of a pronunciation, confirm it with your client beforehand.

Allow Extra Time for Travel

Check the route for traffic, accidents, and construction. Add a significant buffer to your travel time. The goal isn't to be "on time"; it's to be early. Arriving calm and unhurried sets a positive tone for the entire event.

Your Final Check

Before you walk out the door, do one last mental walkthrough of the entire event, from setup to teardown. This final check is often where you catch the one small thing you may have overlooked.

A great event doesn't happen by accident. It’s the result of discipline and preparation. By following a checklist, you free up your mental energy to focus on what truly matters: reading the crowd and delivering an unforgettable performance.
